9 ways to help your team be super productive

We’ve all heard it time and time again: Productivity isn't just about working harder. It's about working smarter. But when can you do to actually make that happen? Here are nine ways to help make your team super productive:

1. Set clear goals and expectations

Setting clear goals and expectations is one of the most effective ways to boost productivity.

When your team knows exactly what they need to achieve, they can focus their energy on the tasks that matter most. Make sure goals are specific, measurable, achievable, relevant and time-bound (SMART). Then, regularly check in on progress to help everyone stay on track.

2. Prioritize tasks effectively

Encourage everyone to prioritize their tasks. If they don’t know what to prioritize, help them make smart choices.

Not all tasks are equally important, so teaching your team to focus on high-impact activities first can significantly improve productivity. Use techniques like the Eisenhower Matrix, which helps differentiate between urgent and important tasks.

3. Cultivate open communication

Open communication is vital to a productive team.

When team members feel comfortable sharing ideas, asking questions and giving feedback, they work more efficiently. Encourage a culture where communication is valued and make sure everyone has the tools they need to stay connected — whether in the office or working remotely.

4. Provide the right tools + resources

Having the right tools and resources at your disposal can greatly enhance your team's productivity.

In addition to the communication tools noted in the prior section, you may want to think about technology and ergonomic workspaces that can boost productivity. Invest in tools that streamline processes, automate repetitive tasks and enhance collaboration.

5. Encourage regular breaks

It might seem counterintuitive, but regular breaks are essential for maintaining productivity.

Encourage your team to take short breaks throughout the day to recharge. This can help prevent burnout and keep energy levels high. Simple practices – like walking, stretching or meditating – can do wonders for focus and creativity.

6. Support work/life balance

A team that’s well-rested and balanced in their personal and professional lives is more productive.

Encourage work/life balance by setting work-hour boundaries and promoting the importance of time off. A good work/life balance helps prevent burnout and energizes your team.

7. Recognize + reward achievements

Recognition is a powerful motivator.

When team members feel their hard work is acknowledged, they stay engaged and productive. Regularly recognize and reward achievements — both big and small. Recognition can be formal or informal with simple gestures like a thank-you note or public acknowledgment in a meeting.

8. Encourage collaboration

Collaboration can significantly boost productivity by bringing together diverse skills and perspectives.

Foster a collaborative environment where team members feel encouraged to collaborate, share ideas and support one another. Tools like project management software and team collaboration platforms can facilitate this process.

9. Provide opportunities for professional development

Investing in your team’s growth improves their skills and keeps them motivated and productive.

Provide opportunities for professional development through training, workshops and mentoring. Continuous professional development shows your team that you’re invested in their futures and helps them stay engaged with their work.

  • Communication skills training improves internal and external communication, reducing misunderstandings and fostering a more collaborative environment.
  • Leadership training equips your team with the skills to effectively motivate and guide each other. Leadership training is especially important for managers
  • Technology training helps your team stay proficient in the tools and software they use daily, reducing the time spent troubleshooting and learning on the job.
  • Stress management training teaches techniques to manage stress, which can improve focus and reduce the risk of burnout.
